How it works

Your support knowledge, on the phone

The same setup as our receptionist, built around the information your support team already has.

STEP 01

Upload your support information

Add your manuals, troubleshooting guides, FAQs, warranty and returns policies in your dashboard — PDFs and documents for every product or service you support.

STEP 02

Divert your support number

Point your existing support line at AiRingDesk — out of hours, when your team is busy, or all the time. Customers keep the number they know.

STEP 03

She answers from your information

Callers explain the problem in their own words. She answers from your documents and talks them through the simple first steps in your guides.

STEP 04

Your team gets the hard ones

Anything she can’t solve is transferred or passed on with a summary — what the product is, what’s wrong and what’s already been tried.

What callers ask

The calls that fill your support queue

Most support calls are the same questions again and again. Let her handle those from your guides, so your team can focus on the problems that really need them.

For example…
  • “It won’t switch on” — the first checks from your guide
  • How to reset, pair or set up a product
  • Error codes and what they mean
  • Warranty, repairs and returns
  • Booking a repair or engineer visit
Example call

"My alarm keeps beeping"

A security company's support line at 9pm. She finds the answer in their guide, keeps the caller calm and books the job in for the engineers.

What lands in your inbox

What the caller wants: Alarm keypad beeping, showing a low-battery message.
Already tried: Read the keypad message with the caller; explained it's the backup battery.
Action needed: Book a battery replacement visit — customer details and best times taken.

Fictional example for illustration.

ReceptionistGood evening, BrightHome Security support. How can I help?
CallerHi, my alarm panel keeps beeping and I can't get it to stop.
ReceptionistI can help with that. Is there a message showing on the keypad screen?
CallerIt says battery low.
ReceptionistThank you. That means the alarm's backup battery needs replacing — it's a quick job for our engineers. Can I take your name, address and the best number to arrange a visit?
What to upload

Everything your support team already knows

Upload it in your dashboard, and update it whenever your products, prices or policies change.

User manuals and quick-start guides
Troubleshooting steps and error codes
FAQs from your website and help centre
Warranty, repairs and returns policies
Service areas, hours and how to book
Who to pass each kind of problem to — and what counts as urgent

You stay in control

You decide what she helps with, what she should never advise on, and what goes straight to your team. If something isn't in your information, set her up to take details and pass it on rather than guess.

Nothing gets lost

Every call ends with an email summary and transcript, and is logged in your dashboard. On Business, call details can flow straight into your CRM or helpdesk.

Questions

Support line questions

What support information can I upload?+

Your manuals, troubleshooting guides, FAQs, warranty and returns policies — the information your own support team uses. Upload it in your dashboard and add new versions whenever your products or policies change. If you have a very large library, talk to us and we'll help you set it up.

Will she troubleshoot problems with callers?+

She talks callers through the first steps in your guides and answers questions from your information. Anything she can't resolve is passed to your team with a summary of the product, the problem and what's already been tried.

What if the answer isn't in our documents?+

Set her up to take the caller's details and pass the call on rather than guess. Your team gets a summary and transcript, so they can pick it up straight away.

What about safety issues?+

You decide. Most businesses tell her to pass anything safety-related — electrics, gas, water leaks, injuries — straight to their team, and to tell callers to dial 999 in an emergency.

Can she raise a support ticket?+

Every call creates an email with the summary and transcript and is logged in your dashboard. On the Business plan, call details can also be sent into your CRM or helpdesk automatically with webhooks.

Can we use it just out of hours?+

Yes. Divert your support line only when you're closed or busy, and your team handles the rest as normal.

Can she support lots of different products?+

Yes — upload the guides for each product or service. Callers just describe what they have and what's wrong.

Which plan do we need?+

Every plan answers 24/7 and emails you after every call — choose by how many calls you get. Starter adds voicemail recordings, and Business adds full call recording plus CRM and webhook integration for helpdesks.
