Terms of Service
📋 These Terms of Service govern your use of the AiRingDesk platform. By signing up, you agree to these terms. If you have questions, contact us at [email protected] before subscribing.
- "Service" means the AiRingDesk AI telephone answering platform
- "Customer" means the business or individual subscribing to the Service
- "Callers" means third parties who call the Customer's phone number
- "Content" means call recordings, transcripts, and AI summaries generated by the Service
AiRingDesk provides an AI-powered telephone answering service that answers inbound calls, engages callers in natural conversation, takes messages, and transfers calls to designated team members. The Service is powered by Claude AI (Anthropic), Twilio, and Google Cloud text-to-speech infrastructure.
- Subscriptions are billed monthly or annually in advance in GBP
- All plans include a 14-day free trial — no charge until the trial ends
- Payments are processed securely by Stripe
- All prices are exclusive of VAT. VAT at 20% will be added at checkout. VAT No: GB 321211372
- Failed payments will result in service suspension after 14 days notice
- Annual subscriptions are non-refundable except within 14 days of purchase
You agree not to use the Service to:
- Engage in any unlawful activity or facilitate fraud
- Mislead callers about the nature of the AI service where legally required to disclose
- Record calls without appropriate consent where required by law
- Transmit spam, harassment, or abusive content
- Attempt to reverse engineer or copy the Service
- Exceed the call limits of your plan in a way intended to circumvent billing
If you enable call recording, you are responsible for ensuring compliance with UK GDPR and the Regulation of Investigatory Powers Act 2000 (RIPA). This includes notifying callers that calls may be recorded. AiRingDesk provides tools to add recording notices to your AI greeting.
We target 99.9% uptime and will notify you of planned maintenance. We are not liable for outages caused by third-party providers (Twilio, Anthropic, Stripe) or circumstances beyond our control. In the event of extended outages, we may provide service credits at our discretion.
AiRingDesk retains ownership of the platform, software, and AI models. You retain ownership of your business data, call content, and customer information. You grant AiRingDesk a limited licence to process your data to deliver the Service.
To the maximum extent permitted by UK law, AiRingDesk's total liability shall not exceed the fees paid by you in the 3 months preceding the claim. We are not liable for indirect, consequential, or loss of profit damages. This does not limit liability for death, personal injury, or fraud.
- You may cancel at any time from your billing dashboard
- Your service remains active until the end of the current billing period
- No refunds are issued for partial months on monthly plans
- Upon cancellation, your data will be retained for 30 days then deleted
Where AiRingDesk provisions a UK telephone number on your behalf, the number is acquired through Twilio Inc. and remains under AiRingDesk's Twilio account. You are granted a licence to use the number for the duration of your active subscription. Upon cancellation or suspension, the number may be released back to Twilio. You are responsible for ensuring all calls made and received on your provisioned number comply with applicable UK telecommunications law, including the Communications Act 2003.
- Numbers are provisioned subject to Twilio's regulatory requirements and UK Ofcom regulations
- You must provide accurate business address information for number provisioning
- AiRingDesk reserves the right to release your number immediately in cases of misuse
- Number porting is not currently supported
In accordance with Ofcom regulations and Twilio's UK regulatory requirements, all phone numbers provisioned through AiRingDesk must be associated with a valid UK business address. By requesting a phone number, you confirm that:
- The address you provide is a genuine UK business address and not a residential address used for personal purposes
- You are authorised to use the address for business telecommunications purposes
- The address type you select (Business or Residential) accurately reflects the nature of the premises
- You will notify AiRingDesk immediately if your address changes
- Providing a residential address for business use may result in number deactivation during a Twilio regulatory audit
AiRingDesk reserves the right to request supporting documentation to verify your business address at any time. Failure to provide accurate address information may result in immediate number release without refund.
⚠️ Important: If you are operating from a home address for business purposes, you must select "Business" as your address type and ensure your business is registered at that address with Companies House or equivalent authority.
AiRingDesk reserves the right to suspend or terminate your account immediately and without notice if we reasonably believe you are in breach of these Terms, particularly the Acceptable Use policy. Upon suspension:
- Your AI receptionist will stop answering calls immediately
- Your provisioned phone number may be released
- You will be notified by email with the reason for suspension
- You may appeal the suspension by contacting [email protected] within 14 days
We maintain audit logs of number assignments, call activity, and Terms of Service acceptances. These records may be provided to regulatory authorities or law enforcement upon lawful request.
AiRingDesk's website uses first-party analytics to track visitor behaviour, including IP addresses, pages visited, and device information. This data is used solely to improve our service and identify potential customers. We do not sell this data to third parties. Visitor data is retained for 90 days and then automatically deleted. These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
We may update these Terms with 30 days notice by email. Continued use of the Service after that period constitutes acceptance of the new Terms.

Refund Policy
This refund policy complies with the Consumer Rights Act 2015, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, and the Digital Economy Act 2017.
Free Trial Period
All new AiRingDesk subscriptions include a 14-day free trial. No payment is taken during this period. You may cancel at any time during the free trial without charge or obligation. By proceeding past the free trial and making your first payment, you acknowledge that the digital service has begun and you have had full opportunity to evaluate the service.
Right to Cancel (Consumer Contracts Regulations 2013)
Under the Consumer Contracts Regulations 2013, you ordinarily have a 14-day right to cancel digital service contracts. However, by accepting these Terms and proceeding with payment after your free trial, you expressly request that the service begins immediately and acknowledge that your right to cancel under the 14-day cooling-off period is waived, as permitted under Regulation 36(1) of the Consumer Contracts Regulations 2013.
This waiver does not affect your statutory rights under the Consumer Rights Act 2015 if the service is not as described or is of unsatisfactory quality.
Monthly Subscriptions
AiRingDesk subscriptions are billed on a monthly rolling basis. You may cancel your subscription at any time through your dashboard or by contacting us at [email protected]. Upon cancellation:
- Your subscription will remain active until the end of the current billing period.
- No refund will be issued for the current month's subscription fee unless the service has failed to perform as described.
- No further payments will be taken after cancellation.
Refunds for Service Failure
You are entitled to a full or partial refund if:
- The service was not provided as described on our website for a significant portion of the billing period;
- There was a material technical failure on our part that substantially prevented you from using the service; or
- You were charged incorrectly due to a billing error on our part.
In such cases, please contact us at [email protected] within 30 days of the charge. We will investigate and, where appropriate, issue a pro-rata credit or refund within 5–10 working days.
Non-Refundable Circumstances
Refunds will not be issued in the following circumstances:
- Change of mind after the 14-day free trial has been used;
- Failure to use the service during the billing period;
- Issues caused by third-party services outside our control (e.g. Twilio telephony outages);
- Accounts suspended due to breach of these Terms.
How to Request a Refund
To request a refund, please email [email protected] with your account email address, the invoice number, and a description of the issue. We aim to respond within 2 working days. If you are unsatisfied with our response, you may refer your complaint to the Citizens Advice consumer helpline or seek alternative dispute resolution through a certified ADR provider.
Statutory Rights
Nothing in this refund policy affects your statutory rights under UK law. For more information about your rights, visit Citizens Advice or GOV.UK Consumer Protection.
Referral Programme
AiRingDesk operates a referral programme subject to the following terms, which comply with the UK Consumer Rights Act 2015, the ASA/CAP Code, and UK GDPR regulations.
How It Works
Existing AiRingDesk customers may refer new customers using their unique referral link or by sending a referral invitation via the dashboard.
Referral Discount
For each referred customer who successfully completes their first full month of paid subscription, the referrer will receive a one-time £10 discount applied to their next monthly invoice. Key points:
- The discount is a one-time credit per successful referral — not a recurring monthly discount.
- There is no limit on the number of referrals a customer may make.
- Discounts are non-transferable and have no cash value.
- Discounts cannot be combined with other promotional offers unless expressly stated.
Qualifying Conditions
A referral is only successful when the referred customer signs up using your unique referral link AND completes a minimum of one full calendar month of paid subscription (30 days). No discount is earned if the referred customer cancels during their free trial or before their first payment is processed.
Disclosure Requirement (UK ASA)
In accordance with UK ASA guidelines, referrers must disclose their potential financial benefit when recommending AiRingDesk. Our referral emails automatically include this disclosure. Referrers must not make misleading claims about AiRingDesk services.
Email Compliance (UK GDPR & PECR)
Referral emails are sent on legitimate interest grounds. Each recipient receives a maximum of one referral email with an unsubscribe option included. Referrers must only refer businesses with a genuine interest in AI receptionist services.
Programme Changes
AiRingDesk reserves the right to modify or terminate the referral programme with 30 days notice. Earned but uncredited discounts will be honoured. Fraud or abuse may result in account suspension.
